Glossary¶
Plain-language definitions of terms used in the app and in this guide.
Activity — the record of who did what and when, across the whole app. Second tab under History. Visible to editors and admins; kept for two years.
Adjust schedule — the toolbar button that groups every action which rewrites an existing schedule: Apply time off, Redistribute weeks, Assign holidays, Swap two people.
Apply time off — repair a year from an effective date forward: keep what's fine, only fix weeks broken by new PTO or roster changes, and fill empty slots. Previously called Regenerate.
Back-to-back — being on call two weeks in a row. The scheduler avoids this.
Data — the toolbar button that groups every action which moves data in or out: Export .xlsx, Import .xlsx, Full backup, Restore full backup.
Effective date — the date you choose for Apply time off or Redistribute weeks. Weeks before it are left alone; only weeks from that date forward can change.
Full backup — a single JSON file containing everything: roster, holidays, time off, and every year's schedule.
Generate — build (or completely rebuild) a whole year's schedule from scratch, fairly.
Holiday rule — a definition like "July 4" or "4th Thursday of November" that the app uses to find the holiday week each year.
On call — the person responsible for responding that week, for a given role.
Pool — a group of people who can fill a role: the Manager pool, Voice pool, or Data pool. Each pool is balanced on its own.
PTO — Paid Time Off / vacation. While someone is on PTO, the scheduler won't put them on call.
Rebalance — the old name for Redistribute weeks. Still the name of the underlying API route.
Redistribute weeks — even out the per-pool load after you add or remove someone, changing as few future weeks as possible. Can move anyone, not just the person who changed. Previously called Rebalance.
Regenerate — the old name for Apply time off. Still the name of the underlying API route.
Roster — the master list of people and which pool(s) they're in.
Role (on-call) — Manager, Voice, or Data — the three slots filled each week.
Role (permission) — Viewer, Editor, or Admin — what you're allowed to do in the app.
Snapshot — a saved copy of a year's schedule, taken automatically before each change so you can restore it. Listed under History → Snapshots.
Swap — two people trading specific on-call weeks. Shown in the app as Swap two people.
Cloudflare Access — the security layer that requires Microsoft 365 sign-in before the app loads. It decides who can sign in; the Admin tab decides what they can do.
